2017 Presenter InformationWe are delighted to have you as a presenter at our annual conference. Information about technology, room set up, poster requirements, etc., is below.
TechnologyIt is the speaker's responsibility to provide a laptop or device for presenting materials during the session. AALHE will not provide computers for the session rooms. AALHE will not provide presentation advancers (clickers).
Each room will have a screen and projector provided.
All rooms, with the exception of Theatre, will have both VGA and HDMI connections. Please ensure that you are using a device that can connect to one of these two connection types or that you bring a dongle to adapt to the connection. The Theatre room will have an HDMI connection. This room will only be used for panel presentations on Tuesday, June 13th.
InternetAALHE will provide wireless internet connection for all attendees and presenters in all conference session rooms. As always, if you plan to use the internet please have a contingency plan in place in case there is an unexpected technology problem.
Microphones and Other Sound AmplificationMicrophones will be provided in large session rooms only (Theatre, Churchill Downs, Keeneland, Regency South A, and Regency South B). Room assignments will not be finalized until two weeks prior to the conference. Check the online schedule to determine if you will have access to a microphone.
Speakers and other sound amplification technology will not be provided by AALHE. If your presentation requires the use of speakers (e.g., to show a video), please provide them.
- Monday, June 12th: All workshops will be set with roundtables. No podium/microphone except in larger rooms (see above).
- Tuesday, June 13th: All sessions, aside from those in the Ballroom, will be set theatre style (no tables). No podium/microphone except in larger rooms (see above).
- Wednesday, June 14th: All sessions, aside from those in the Ballroom, will be set with roundtables. No podium/microphone except in larger rooms (see above).
Posters must be no larger than 36” x 48” or 48” x 36”. Poster presentations will be held in the Ballroom on Tuesday, June 13th from 8:30 – 9:30 AM. Presenters may set up for the presentation as early as 6:30 AM Tuesday. Posters may remain in the room for the entirety of Tuesday, but must be removed by 5:30 PM.
Presenters will be provided with a stand and board, pushpins, and clips. Tables will be scattered around the room and may be used for stacking handouts.
Handouts and PowerPointsYou may choose to provide a handout to your audience; unfortunately, AALHE has no way of knowing how many people will attend your session. At past AALHE conferences, 30 copies were typically sufficient.
You can also submit a single file (PDF, Word, Excel, PowerPoint) to attach to the online program. Only one file can be uploaded per session. If you would like to provide more than one file, please combine them into a single document. Submit your file for upload no later than June 7th to firstname.lastname@example.org. Please indicate the title of the session.
